Administrative Assistant (part time)

Allied Mechanical Services - Grand Rapids, MI

Mechanical contractor seeks organized individual to assume general office and administrative duties, provide administrative support for project managers, and complete special projects that may occasionally be assigned. 

Primary Responsibilities: 

  • Assist Project Managers with project documents and organization. 
    • Prepare/submit/track project documents
      • Purchase orders 
      • Submittals/shop drawings
      • Permit applications 
      • Contracts
      • Insurance documents
      • Change order requests
      • Close-out documents
  • Prepare pre-qualification forms, bid forms, and related documents
  • Answer and direct phone calls
  • Maintain various reports, files, and databases
  • Monitor and maintain office supplies inventory
  • Sort/deliver/send mail
  • Accept/send UPS packages
  • Other administrative duties as assigned

  • Strong organization, planning, and time management skills
  • Excellent oral and written communication skills
  • Proficiency with Excel, Word, and Adobe with ability to learn new systems
  • Ability to work under pressure and manage changing priorities
  • Ability to work well with co-workers, customers, and suppliers

Desired Experience:

  • High School diploma (college preferred)
  • Previous office administrative experience

Job Type:

  • Part time (16–24 hours per week)
